Booking & logistics

Before you inquire.

Multi-day trips raise different questions than single-day tours. These are the ones we hear most often. For tour-specific details, see the individual tour pages or simply ask in your quote request.

Ideally 4–6 months ahead for trips in peak season (May–October). The constraint isn’t our availability — it’s the hotels. Premium and ultra-luxury properties in the Douro Valley, Comporta, and Lisbon-region book up early.

For shoulder season (March–April, November), 2–3 months is usually fine. Winter trips can be arranged with 4–6 weeks. We’ll always tell you honestly if your dates won’t work — and suggest alternatives.

2 days is the minimum (from €980). Below that, a single-day tour from our standard catalog is more cost-effective. Most multi-day quotes are 3–7 days. We’ve built trips up to 14 days (full Iberian loops with Spain). There’s no upper limit.

Yes, within reason. Day-by-day flexibility is one of the main reasons people choose private over group travel. Your driver-guide can adjust the day’s plan — skip a stop, add a viewpoint, change a lunch. Hotel-night changes need 24–48 hours of notice because of booking restrictions.

Major reroutes mid-trip (e.g., dropping a region entirely or adding a new one) are possible but may incur change fees from hotels — we’ll be transparent about the costs.

All hotels are pre-booked by us under your name, with all accommodation costs included in your quote. You’ll receive a complete booking confirmation pack 30 days before your trip with hotel names, addresses, check-in dates, and confirmation numbers.

You pay one consolidated invoice to us (not individual hotels) — 30% deposit at booking, balance 30 days before arrival. No additional payments on the ground except for personal extras (room service, minibar, etc.).

Multi-day cancellation is more complex than single-day because hotel deposits are at stake. Standard policy:

60+ days before: Full refund of all paid amounts minus a €150 admin fee. 30–60 days: Refund minus hotel cancellation penalties (varies by property). 14–30 days: 50% refund typical. Inside 14 days: No refund except for documented medical emergencies, which we handle case-by-case with kindness.

Travel insurance is strongly recommended — we’ll mention this at every step.

Yes — we hold the Schengen-area driver-guide licensing required for cross-border tours. Common Spain extensions include Seville (from the Algarve, 3-hour drive), Mérida (from Évora, 2-hour drive, Roman archaeology), and Salamanca or Santiago de Compostela (from the Douro, longer drives). Typical add: 2–4 days, with all hotels and routing built into your quote.

Yes — up to 15 in a single Sprinter, or multi-vehicle groups for parties of 15–40. Common cases include wedding parties celebrating in Portugal, corporate retreats, wine clubs, and extended family reunions. Multi-vehicle groups travel together in convoy with synchronized routing.

Group hotel arrangements get more complex; we recommend booking 6+ months ahead for groups of 10+. Group corporate invoicing available.

Yes to all three categories. Dietary needs (vegetarian, vegan, gluten-free, kosher, halal, allergies) are passed to every restaurant and hotel we book on your behalf. Mobility issues are accommodated — wheelchair-accessible vehicles, hotels with elevators and step-free access, walking routes adapted. Medical considerations (medications requiring refrigeration, dialysis arrangements, etc.) we can plan around. Tell us at quote stage and we’ll match the right driver, vehicles, and hotels.
